Updating Projects

Resources can find their allocated works in /updates, this sections was made to be fast, simple and effective at drawing in information. Here they'll have access to particular project information (project contacts, project documents and previsouly recorded project notes) and their workloads for all projects they've allocated automatically and manually. They will have the ability to progress quantities, create/update notes, create/update notices of delay, record formal extensions of time, upload photos and/or documented evidence. From these updates Odin automatically creates and records timesheets, variations and ledgers for payment to the resources and ledgers to be claimed from the corresponding clients of the project. This keeps the workers and records up to date and live for immediate representation on refresh

Update Tasks which will automatically Update Daily Work

  1. Sign in and navigate to /updates. Click the Updates header in the top left
  2. If work has been allocated to the worker or if you have project permissions the left side of the screen should have selection boxes for Project, Resources, and Task Status
  3. Select a Project by clicking on the pencil, typing the project name and clicking the project when it appears
  4. Select a Resource by clicking on the pencil, typing the project name and clicking the project when it appears
  5. Select a Task Status by clicking the status box
  6. The Task list below will fill with associated records of the selected options, unless there are none associated with that combination
  7. To quickly edit the main details (Quantities and Completion state) click inside the box and it will expland for these to be edited
  8. To fully review or edit all details of the task click the check box to the left of the Task Name and a slide out window will appear to update Photos/Documents, Notes and Assignee updates. Works can be re-assigned from this window to other users/workers
  9. Click Done in the top right of the window and to make sure the changes aren't lost click Save (above the task list)

Update Daily Work without correlating to Tasks

  1. Sign in and navigate to /updates. Click the Updates header in the top left
  2. Click the Tab Days in the bottom half of the screen
  3. If work has been allocated to the worker or if you have project permissions the left side of the screen should have selection boxes for Project, Resources, Date Range and 4 pre defined date Range Boxes Today, Tomorrow, The Week , All Dates
  4. Select a Project by clicking on the pencil, typing the project name and clicking the project when it appears
  5. Select a Resource by clicking on the pencil, typing the project name and clicking the project when it appears
  6. Select a Date range to focus on by clicking on the pencil and changing the start and end dates OR select one of the pre-defined options
  7. The Day list below will fill with associated records of the selected options, unless there are none associated with that combination
  8. To edit the details of the day, click the check box to the left of the Day and a slide out window will appear to update Photos/Documents, Notes, Work Completed, Contract Items (Variations, EOTs, NODs) and Timesheets
  9. Click Save in the top right of the window to make sure the changes aren't lost

Advanced Updates and Details in the Day/Task Relationship

Advanced functions for updating Days and Tasks are available in a Full View mode. This mode is specific to every combination of Day/Discipline/Project. A view will represent a single type of work being done on a single Day thats part of a single Project. These advanced functions include

  1. Creating, editing and viewing of all Timesheet details for the working teams in the selected Discipline-Day-Project combination (timesheet quantities are automatically split against many projects depending on how many were worked on in that same day. As an example, if an Odin emplyee worked on the project Odin Support and also on Odin Developement in the same day, the employee would have two timesheets, one allocated and time portioned to Odin Support and the other to Odin Developement, equally portioned in time)
  2. Creating, editing and viewing of all Revenues and Expeneditures for the working teams and clients in this Discipline-Day-Project combination
  3. Creating, editing and viewing of all Tasks related to this Discipline-Day-Project
  4. Creating, editing and viewing of all Contract Items (Variations/EOTs/NODs) related to this Discipline-Day-Project
  5. Abosrption and Release of Organizational Tools between teams

Add Spontaneous Scope

  1. Reference the instructions set out in the sub-heading via Updates of Creating a Task

Add Spontaneous Scope (Smart Option A.)

  1. Select a Task that's similiar to the scope needing to be added
  2. Click Clone in the top right side bar
  3. Tweak as desired
  4. Finally click Save

Update Timesheets

Very Importantly, timesheet quantities are automatically split against many projects depending on how many projects were worked in that same day. As an example, if an Odin emplyee worked in two seperate projects, one called (Odin Support and the other Odin Developement) in the same day, the employee would have two timesheets. One allocated and time portioned to Odin Support and the other to Odin Developement, both would be equally portioned in time unless manually changed. As this provides great detail and financial data for the business its important to understand that a timesheet with an amount less than what is expected is probably a shared timesheet with another occupying another Discipline-Project combination for the same day. These counter part timesheets will be represented below the editable timesheet with details marked Shared with Discipline-Project x Counter Part Portion ... etc so if both are required to sum cumalitively the user has an easy way to find the counter parts

  1. Sign in and navigate to /updates. Click the Updates header in the top left
  2. Ensure all work updates are completed prior to updating the timesheet
  3. Click the Tab Days tab
  4. Select a Date range to focus on by clicking on the pencil and changing the start and end dates OR select one of the pre-defined options
  5. Select a day by clicking the check box to the left of the Day
  6. Scroll down in the right side bar to the timesheets section and scroll through them to add/update each if required

Update Contract Items

  1. Sign in and navigate to /updates. Click the Updates header in the top left
  2. Ensure all work updates are completed prior to updating the timesheet
  3. Click the Tab Days tab
  4. Select a Date range to focus on by clicking on the pencil and changing the start and end dates OR select one of the pre-defined options
  5. Select a day by clicking the check box to the left of the Day
  6. Scroll down in the right side bar to the contracts section and scroll through them to add/update each if required
